 Name, date of birth, address
 Attendance records and session details
 Health, allergy, dietary and medication information
 Learning journals, observations and development records
 Safeguarding and welfare records where applicable
 Photographs and videos (with written parental consent)


Parents / Carers
 Names, addresses, telephone numbers and email addresses
 Emergency contact details and authorised collection information
 Billing, funding and payment records
 Communication preferences


Staff, Volunteers & Applicants
 Recruitment information, references, right to work checks

 Qualifications, training records and (where required) DBS details
 Employment records, payroll information and performance/training notes
 Health declarations where required for the role

3. Why We Use Personal Data
 To provide childcare services and early education
 To safeguard children and promote welfare
 To communicate with parents/carers about care, learning and wellbeing
 To administer bookings, attendance, billing and funded places

 To recruit, employ and support staff

We process personal data under one or more lawful bases, including: contract (to provide childcare services), legal obligation (e.g. safeguarding and regulatory duties), vital interests (where urgent health/safety applies), and consent (e.g. photography and marketing communications).

We may share personal data where lawful and necessary, including with:
 Local Authority services and statutory safeguarding agencies
 Ofsted and other regulators
 Health professionals supporting a child (where appropriate)
 Service providers that support nursery operations (e.g. payroll, IT)
We do not sell personal data.

 Password-protected digital systems and role-based access controls
 Locked storage for paper records
 Staff training and clear confidentiality expectations
Any personal data breach will be managed and reported in line with ICO requirements, including reporting to the ICO within 72 hours where required.


7. Data Retention

We keep personal data only for as long as necessary. Typical retention periods include:
 Child records: until the child is 25 years old
 Accident/incident records: 21 years
 Financial records: 7 years
 Staff records: 6 years after employment ends
